Audera and Veeva PromoMats: checked before review, watched after launch
Veeva PromoMats reviews and approves your promotional content. Audera works both ends of it: it runs 34 automated checks on every page before anything reaches MLR, exports the whole site as a review-ready PDF pack for your vault, then re-checks the live pages every night for drift from what was signed off.
in short
PromoMats is where your content gets approved. Audera wraps around that moment: it catches the mistakes before MLR has to, hands you the site as a PDF pack for the vault, and once the pages are live it checks every night that they still match what was approved. Different jobs. Most teams run both.
the lifecycle
One timeline, and Audera holds both ends of it
Review sits in the middle of a website's life, not at the start of it. Here is the whole line, and who does what on it.
-
build
The site takes shape
The agency builds or updates the pages on a staging environment, ahead of any review.
-
pre-flight: audera
Checked before anyone reviews it
Every page runs through the 34-check catalogue. The missing job code and the dead PI link get fixed here, not in review comments.
-
review: veeva promomats
MLR signs off
The PDF pack of the site goes into the vault, reviewers see clean content, and approval is versioned in the system of record.
-
launch
The page goes live
The approved content is deployed to the public site. From here on, no approval system can see the page a visitor loads.
-
after launch: audera
Watched every night
Every page is re-scanned nightly and compared with what was approved. Any drift becomes a finding with a screenshot.
before the vault: audera
Catch it before MLR does
- The full catalogue runs on staging before anything is submitted.
- Job codes, safety links, black triangles fixed before a reviewer burns a cycle.
- The site exports as a PDF pack, ready for the vault.
in the vault: promomats
What Veeva PromoMats is built for
- MLR review and approval, with reviewers, comments and sign-off.
- Digital asset management: one versioned home for every approved asset.
- Expiry, withdrawal and the record of who approved what, and when.
after launch: audera
What no approval system can see
- The deployed page drifting from what was approved.
- A job code changed, a safety link rotted, a claim edited in the CMS.
- The EMA moving a product's status after sign-off.
the bridge into veeva
Download the whole site, ready for the vault
Select the pages, or all of them, and Audera exports full-page captures of the real rendered site: cookie banner handled, HCP gate crossed, exactly what a visitor sees. One combined PDF for a single vault record, or one PDF per page when your reviewers work page by page.
They are the same captures the nightly scan takes, which is the quiet superpower: the pack you submit to MLR and the pages Audera guards afterwards are one and the same thing, so divergence has nowhere to hide.

Who does what, honestly
Neither column is a knock on the other. PromoMats owns the review; Audera owns everything either side of it.

Audera does not replace Veeva PromoMats
nothing to migrate
Audera watches the site from the outside, the way a visitor would. There is nothing to move out of your Veeva vault and nothing to install.
promomats stays the record
PromoMats stays your system of record for review and approval. Audera feeds it cleaner submissions and a PDF pack; it does not touch the workflow.
audera holds both ends
Before the vault, Audera catches what would have bounced in review. After launch, it flags the morning the approved version stops being the version visitors get.
MLR reviews it once. Audera checks it before they do, and every night after.
reach for promomats when
You need promotional content reviewed, approved and versioned, with a defensible record of who signed off on what, and when. That is the review layer, and PromoMats is very good at it.
reach for audera when
You want the mistakes caught before MLR sees them, the site handed to reviewers as a clean PDF pack, and proof every night after launch that the approved content is still what visitors get, screenshot included. That is everything around the review, and it is where Audera lives.
questions
Common questions
- Does Audera replace Veeva PromoMats?
- No. PromoMats is your MLR review and approval system, and the digital asset system of record. Audera works both ends of it: before submission it checks every page and exports the site as a review-ready PDF pack, and after launch it watches the live pages every night for drift from what was signed off. Most teams keep PromoMats and add Audera.
- Can Audera check pages before they go into MLR review?
- Yes, and that is half the point. Point Audera at the staging or preview environment and it runs the same checks the nightly scan runs: job codes, ISI and PI links, black triangles, dates of preparation, broken links and the rest. The mistakes get caught and fixed before a reviewer ever sees them, instead of costing a review cycle each.
- How does the PDF export work with Veeva?
- Audera captures every page as a full-page screenshot and exports the set as one combined PDF or one PDF per page, whichever your workflow prefers. The pack drops into a Veeva vault, or any MLR system, as the record of exactly what the site looks like. Because they are the same captures the nightly scan takes, the pack always reflects the real rendered page, HCP gate crossed and all.
- We already use PromoMats. Why add monitoring?
- Approval happens once, at a point in time. The live site keeps changing after that: a CMS edit, a redeploy, a link that rots, a regulatory status that moves at the EMA. PromoMats has no view of any of that once the asset is out the door. Audera re-checks the deployed page every night against what was approved, so drift is caught the morning it happens rather than at the next audit.
- Is Audera only for Veeva customers?
- No. Audera checks and monitors the live site regardless of how the content was reviewed or approved. Veeva, another MLR system, or a spreadsheet and a shared drive: the checks, the PDF pack and the nightly scan run the same way.
Catch it before MLR does
Keep PromoMats for approval. Add Audera for everything either side of it: the pre-flight, the PDF pack, and the nights after launch. Your first scan runs the night you add a site.
